Kolkata FOSS November Meetup — Speaker Lineup

We’re excited to introduce the speakers joining us for this month’s FOSS Meetup in Kolkata!

Reflection on the Meetup

Attendees and RSVPs

We received over 300 RSVPs for the event, after which the RSVP form was closed. Despite this, several individuals continued to reach out requesting on-spot registrations. However, due to 4–5 other community events being held across the city on the same day, the actual turnout was around 130–140 attendees.

Venue, Timings, and Talks

The venue for this edition the RCC Institute of Information Technology, Kolkata is one of the well-known and centrally located institutions in the city. This ensured excellent accessibility, and attendees faced no difficulty in locating or reaching the venue.

The event was scheduled from 11:00 AM to 2:00 PM, as the venue being a college restricted the possibility of late evening sessions. The timing proved suitable, as most offices and colleges remain closed on Saturdays, allowing attendees ample opportunity to participate.

The number of CFP submissions was relatively low this time, which limited the selection pool for the review team. Nevertheless, all delivered talks were engaging, insightful, and well-received by the audience. Moving forward, we aim to bring in greater diversity in both the topics and the types of talks, as well as in the number of speakers.

Community Partners and Venue Partners

Our venue partners, RCCIIT College, extended outstanding support throughout the event. A dedicated team of 6–7 members assisted with logistics and coordination, ensuring that the meetup proceeded smoothly.

The community partners Noobuild, LNC, and Devdotcom played a key role in spreading the word and helping us reach a large number of RSVPs. However, due to event overlaps across the city, many members were unable to attend or had to leave before the conclusion of the meetup.

The Positives

  • The overall execution of the meetup was seamless.
  • Talks were informative, engaging, and appreciated by the attendees.
  • Venue partners were exceptionally cooperative and efficient.

Areas for Improvement

  • Due to multiple events being conducted on the same date, the attendee-to-RSVP ratio dropped to nearly half.
  • Several participants had to leave early because of the same scheduling conflict.

Steps Forward

  • A feedback form has been circulated to gather insights regarding the drop in turnout and to identify areas for improving future meetups.
  • We would like to confirm the process and appropriate point of contact for submitting invoices related to food and refreshment reimbursements. It would be very helpful if we could be guided for the same
