We require the proposals to be complete (with panelists identified). Proposals submitted to Devrooms are also not directly considered for the main track.

Proposals & Reviews

  1. James has shared the Proposal Reviewer Guide IndiaFOSS Proposal Reviewer Guide
  2. The review process for the main track of proposals will start from July 3, Friday.
  3. Reviewers can add private comments and ‘must have’ columns on the dashboard.
  4. We currently have 23 reviewers onboard for the main track.

Sponsorship/Fundraising

  1. Rahul to follow up with potential sponsors and continue reaching out to new ones.
  2. In total, Rs 28,50,000 has been committed in sponsorships.
  3. Open-source companies and projects get a 50% discount on sponsorship.

Booths & Awards

  1. Ansh and Kratika to do booth and award nomination outreach this week.
  2. There are 57 booth applications and 15 award nominations received till now.

Volunteering

  1. 40 possible volunteers have been approved so far, and there are 15 waitlisted. The acceptance/rejection email will go out later today or early tomorrow after we create the telegram channel for volunteers. Volunteers will be asked to work on general things to begin with and then added to specific teams closer to the conference date. We may also do another round of filtering based on their commitment.

Diversity

  1. 66 diversity applications have been received so far.

Community

  1. We want to give out free tickets to active city chapters and clubs as an incentive for their consistency last year. We will give out 2 tickets each to 5 active FOSS Clubs and 10 city chapters. Folks from both these groups will be asked to apply for diversity scholarships for travel assistance.
  • Club committee: 4 conference tickets + travel funding (need-basis) - 4*Rs.500 = 2000
  • 10 active City chapters: 2 conference tickets = 20*Rs. 3000 = Rs. 60,000 . No travel funding as this group is of professionals
  • 5 active FOSS Clubs: 2 conference tickets + travel funding through diversity program on need basis - 10*Rs. 500 = 5000
  • Total expense on student tickets = 7000
  • Total expense on professional tickets = 60000
  • Travel funding to students on a need basis
  1. The program committee suggested involving the city chapter volunteers as volunteers for IndiaFOSS.

Design

  1. Jeswin, Muneer, and 5 design volunteers are working on T-shirt and sticker bomb designs.

Tickets

  1. The ‘enthusiast tier’ for tickets will be closed.
  2. The ‘late bird enthusiast tier’ will be priced at Rs 1,500.
  3. There will be no ticket discounts after the schedule is released in August.

Devrooms

  1. There will be a ‘Devroom Huddle’ on Friday, July 3, from 3pm to 4pm.

  1. Main track reviews have started and the deadline is 12th July.
  2. Shree is also following up with Devroom managers too.

Volunteers

  1. We have onboarded around 40 volunteers. First weekly sync on Friday at 7pm.

Maintainers

  1. Ansh and Kratika are going to reach out to all maintainers on Forklore to remind them of community booths and maintainer summit at IndiaFOSS.

Sponsorship

  1. No new sponsors to announce
  2. @ansh to work with the co-chairs to finalise custom sponsorship packages for coffee, A/V, exhibition area etc.

Hello,

Just wanted to understand about the next step/ updates on CFP submissions. I saw the comment that the applicants will receive update via email. But I haven’t received any update so just wanted to understand.

Unlike last year where the food was mostly containing paneer, peeli daal, etc, can “dal makhani (kaali dal)”, “dum aaloo”, etc be added?

Booths & Awards

  1. The deadline for both Booths and Award Nominations has been extended to July 22, 2026.

Diversity

  1. Current diversity volunteers are a mix of past diversity scholars and active city volunteers.
  2. They are working on diversity sponsors and scholarship applicants outreach

Design & Campaigns

  1. The design team is collecting ideas for T-shirts for this year. Volunteers are also involved.
  2. Advocacy team to promote diversity sponsorship, diversity scholarships and ticket sales.

Reviews

  1. At least one Devroom proposal from each track has been reviewed.
  2. Co-chairs are reaching out to more reviewers, re-assigning CFPs, and reminding the current reviewers about the deadline.

Volunteers

  1. We are finalsing time for bi-weekly meetings.
  2. All volunteers are engaged in different pre-event tasks.

Logistics

  1. Food and photography vendors to be booked. Discussion around using a QSR for meals.

  1. A devroom huddle happened on 24 July 2026.
  2. Devroom promotions will start by 15 August 2026.

DIversity

  1. We will start promotions for on-site childcare and accessibility support.
  2. We are currently reviewing more diversity scholarship applications.
  3. We have received applications from:
    a. 59 women
    b. 6 LGBTQ++ members
    c. 16 religious minorities
    d. 2 persons with disability
    e. 63 from Tier 2/3 cities

Sponsorship and Booths

  1. We have raised 32/50 lacs in sponsorship.
  2. The review process for booth applications is ongoing.

Volunteers

  1. Volunteers have been engaged in different tasks.
  2. The Volunteers Confidentiality And Data Misuse Agreement for IndiaFOSS 2026 has been signed by all active volunteers.

Tech

  1. Working on improving website accessibility

Panel

  1. Co-chairs are meeting on Friday to discuss Panel, lightning talks and Birds of a Feather sessions
  2. Mocks are ongoing for Devroom proposals
  3. Public schedule will be up by 1st of September

Diversity

  1. 221 people have applied for diversity scholarship
  2. We have around Rs 60k left from last year. We will add the amount to this year’s budget. The total amount is Rs 3.6 lakhs
  3. We’re also giving out free tickets to our most active FOSS Clubs and City Communities. Official communication has been sent to them

Logistics

  1. We will book vendors for food soon, and will increase the number of counters to move things faster
  2. @hari to talk to the NIMHANS IT team to check on the quality of their internet
  3. A separate logistics meeting to be setup to discuss all vendors and food

Design

  1. T-Shirt design will be finalised soon, and printing will begin in the third week of August

CFPs & Devroom

  1. Most CFPs have been updated on their status. Accepted proposers are confirming their presence
  2. Devroom managers are also making good progress in finalising their talks

Volunteers

  1. Creating a list of active volunteers to allocate them specific tasks. Currently, around 5 volunteers are inactive. They will be communicated about their inactive status
  2. We will decide the final roles and tasks required for IndiaFOSS 2026 by this week

Tech

  1. Working on website accessibility; we will take help from volunteers to get involved for accessibility initiatives

Diversity

  1. We have received 386 diversity scholarship applications:
    a. 76 applications have been approved so far
    b. 45 are from women and non-binary folks
    c. Around 60 are left to review

Social Media

  1. We will start working on a public calendar for the social media team

Sponsorship

  1. There will be calls with sponsors in the 3rd week of August to discuss their participation in the IndiaFOSS events

Logistics

  1. Blocked the same food vendor as last year. We will get the final quotation by the weekend
  2. We have also asked for a quote from ambulance vendors

It is still an ongoing activity. When you wrote this 2 days ago, there were 314 left, today 198 pending of 480 total.

When it gets stated as “most”, it reflects nearly done.

Well - here’s what you are missing - we have 8 devrooms representing more than half of conference CFPs. Those are not in our hands. Not faulting you for this, as it’s easy to miss.
